Job Description

Conduct various clerical functions, such as: distribution of interoffice mail and newspapers to various office mailboxes, check quantity of tribal office sign in sheets and print additional copies as needed. While on any assigned post the CSA will: greet tribal members, employees and visitors in a professional courteous manner. Will respond and handle various service calls that are non-emergency (i.e. animal bites, lost property and traffic direction). Maintain a purchasing catalog library. Consult catalogs and interview suppliers to obtain prices and specifications. Select products for purchase by testing, observing and examining items. Recommend and maintain vendors used by the Seminole Police Department and contract negotiations on major purchases. Fill supply requests for Big Cypress, Brighton, Immokalee, and Tampa reservations and other departments in Hollywood. Send or store items purchased to have on hand and keep inventory of items to issue. Pick up items from vendors that are not delivered. Request and process purchase orders and requisitions to purchase office supplies and furniture, as well as all law enforcement items from outside vendors including, but not limited to: vehicles, motorcycles, vehicle maintenance, guns, radars, uniforms, safety supplies, cameras, film and crime scene kits. Maintain vendor files with all past and recent purchases. Maintain building appearance and repairs. Process forms on new vendors to add to the tribal vendor list. Submit monthly reading for 6 Xerox copy machines located on all reservations. Printing projects, such as: business cards and certificates. Organize upcoming events within the department. Do a check of the spare/pool cars daily to make sure they are ready for the officers’ use when needed. This is done by starting the cars, and if the battery is not holding charge, we charge it for a few hours using our own booster and charger. Assist in maintaining vehicle files updated and organized. Keeping vehicle log in the computer updated with preventive maintenance included. Assist in maintaining driver files. Making sure office fax and printer are working properly. Organizing supplies ordered by supervisors from the Vehicle Inspection Reports, and send them in the weekly mail run properly labeled. Interact with vendors to coordinate repairs of vehicles, drop offs and pick ups. Put together equipment that is assigned to each department vehicle. Once a year, registrations and twice a year insurance cards are renewed; assist with making copies, distribute originals to the reservations and file the copies. Send radar units for calibration, as needed. Pick up license plates and gas cards from the main office. Assist with issuing blanket purchase orders upon request to the supervisors. Assist with jump starting batteries, switching radios, applying decals, and minor mechanical problems. Drive to other Reservations to pick up or drop off a vehicle.
